This AI Acceptable Use Policy (the "Policy") governs your use of the AI-assisted features within the VawltAI platform (the "Platform"), including AI insights, suggestions, drafting, summaries, search answers, and any other feature that generates or surfaces content produced by a large language model or similar system ("AI Features"). It applies to every user of the Platform and supplements, but does not replace, our Terms of Service and Privacy Policy.
You may use AI Features to: analyse your own portfolio data; draft tenant, vendor, or contractor communications for human review before sending; summarise leases, compliance documents, and correspondence; generate draft reports and explanations of figures produced by the Platform; and carry out exploratory question-and-answer work against records belonging to your organisation.
You must not use AI Features to: attempt to jailbreak, bypass safety controls, or extract data belonging to another organisation; generate content that incites or facilitates discrimination against any protected class under the Equality Act 2010; launder suspicious-activity determinations through AI to evade anti-money-laundering obligations; make automated tenant-selection, affordability, or credit decisions without a documented human-in-the-loop; scrape, bulk-export, or resell AI outputs; or pursue any unlawful purpose.
AI outputs are decision-support, not decisions. Any binding legal, financial, regulatory, tenancy, or employment action taken on the basis of an AI output must be reviewed and approved by a named human reviewer with appropriate authority. You remain fully responsible for every action taken on the basis of, or informed by, an AI output.
AI outputs may be incomplete, out-of-date, or incorrect, including outputs that appear confident and specific. We give no warranty of accuracy. Verify AI outputs against source documents and authoritative data before relying on them. AI Features are not a substitute for qualified legal, tax, accounting, surveying, or financial advice.
You must not enter into AI Features: personal data of third parties for which you do not hold a lawful basis to process; protected-class attributes (including race, religion, disability, gender identity, sexual orientation, or age) into prompts that drive decisions about tenants, applicants, employees, or contractors; or documents you are contractually or statutorily barred from sharing. You are the data controller for inputs you provide; we act as a data processor under our Privacy Policy.
You retain rights in the inputs you provide. Outputs generated by AI Features are provided to you for use in your business subject to the Terms of Service. You must not present an AI output as the work of a regulated professional (for example, a solicitor, surveyor, or chartered accountant) unless a suitably qualified human has reviewed and taken responsibility for it.
AI Features are scoped to the organisation under which you are signed in. You must not attempt to infer, surface, or exfiltrate data belonging to any other organisation on the Platform. If you suspect any cross-tenant data leakage, stop using the affected feature and report it immediately to security@vawltai.com.
You are responsible for ensuring that your use of AI Features complies with applicable law, including the UK GDPR (including the right to a human decision in automated decision-making under Article 22), the Data Protection Act 2018, the Equality Act 2010, Financial Conduct Authority rules where relevant, HMRC obligations, and any sector-specific regulation applicable to your activities.
We log use of AI Features for abuse detection, quality assurance, and incident investigation. We may suspend or terminate access to AI Features, or to the Platform, for breaches of this Policy, consistent with our Terms of Service. Serious or repeated breaches may be escalated to the relevant regulator or to law enforcement.
We may update this Policy from time to time as AI Features evolve and regulatory expectations change. Material changes will be notified via the Platform and by email to account administrators. Continued use of AI Features after an update constitutes acceptance of the revised Policy.
